This privacy policy sets out how Newbury and Thatcham Green Gym collects, uses and protects any information that you provide to us on paper, by phone, face to face or electronically or in photographs, and your rights in relation to such information
For volunteers who have attended any task:
When you attend a task for the first time, we ask you to complete our paper registration form with your name and address, home and mobile phone numbers, email address, emergency contact’s details and any medical information that you consider might be relevant in an emergency.
When you attend a task, we ask you to sign our attendance book.
For subscribers to our mailing list who haven’t attended a task:
When you subscribe to our mailing list by using the form on our website, phoning us or speaking to us face to face, we ask you for your name and email address.
Uses of personal data
We use your phone number to advise of any urgent changes e.g. task cancellations because of severe weather or road closures affecting the route to a task.
We only use your emergency contact details if you are taken ill or have an accident while on a task.
We only use the medical information you supply if you are taken ill or have an accident while on a task, in which case the information is passed to a First Aider or member of emergency services.
We use attendance information for health and safety purposes and for resource planning.
We use your email address for weekly task updates and occasional ad hoc communications.
Data security
We are committed to ensuring that your information is kept as securely as practicable. In order to prevent unauthorised access or disclosure, we have in place suitable physical and electronic procedures to safeguard and secure the information we collect.
Data retention
We delete subscribers’ information as soon as they unsubscribe. We destroy volunteers’ information one year after they have last attended a task.
GDPR rights
If you are a volunteer with Newbury and Thatcham Green Gym or a subscriber to our mailing list, we will not sell, distribute or lease your personal information to third parties. You have the right to ask us in writing for a subject access request to obtain a copy of the information we hold about you. You also have the right to request that we update, correct or erase the information we hold about you. To exercise any of these rights you should email We will correct promptly any information found to be incorrect.
